    Client portals

Let clients submit requests, share documents and check progress in a portal under your brand. We build it around your workflow and connect it to the systems you already use.

    When it makes sense

When a client portal pays off.

    • 01You receive many recurring requests or client queries that currently arrive by email.
    • 02Documents, statuses and comments are scattered across inboxes, folders and separate tools.
    • 03You want a more professional image with a portal in your own branding and terminology.

What a client portal is, and what it solves

A client portal is a secure environment where your clients submit requests, share documents, follow the progress of their order and find their quotes and invoices. Under your own brand, with a login for each client. Client portal development takes that work out of your team's inbox and puts it in one place where client and team see the same thing.

The problem a client portal solves is almost always the same: information going back and forth by email. A client sends a request with half the details missing. Someone on your team chases it. The client sends an attachment, then a new version of that attachment, and calls a week later to ask where things stand. Nobody does anything wrong, but it costs time on both sides and it doesn't look professional.

We build client portals entirely to your spec: your branding, your terminology, your steps. Connected to your CRM, accounting or email, so your team doesn't have to work in two systems. Not sure whether custom software is right for you? Read custom software vs. standard packages.

    Cost

How much does a custom client portal cost?

A custom client portal starts at € 9,500. You always get a fixed price up front, so no hourly billing where the total only becomes clear afterwards. Before that comes a free discovery: one working session in which we walk through how the work runs today and pin down what the first version needs to do.

    What mainly drives the price:

    • The number of user roles. Just clients and your own team is simpler than clients, suppliers, account managers and an administrator who each see and do something different.
    • The integrations. A stand-alone portal costs less than one that pulls client data from your CRM and invoices from your accounting software. The better the API of your existing software, the less work the integration is.
    • The document flows. Uploading and downloading files is standard. Documents that are generated automatically, read automatically or routed past several people for approval take more.

After delivery you can take it from there, or we keep developing and maintaining the portal in a partnership from € 3,500 per month. See all pricing.

    Trade-off

Custom client portal or off-the-shelf software?

There is ready-made client portal software you can rent per month. For some businesses that is the better choice, and we will tell you so. If you mainly need a place to share files, or your accounting or CRM package already includes a portal, start there.

A custom client portal pays off when your process doesn't fit such a package. For example because a request in your business involves specific questions, because there are steps only your company takes, or because clients need to see data that lives in several systems. With a standard package you end up bending your workflow to the software. With custom software it's the other way round.

A second difference: with custom software you own it. No licence per user, and no exposure to a vendor's price increases or change of direction. You get the portal delivered with documentation.

    Features

What a client portal can include

We only build what your clients and team will actually use. These are the parts that come up most often:

    • Submitting requests through a form that asks for exactly the details your team needs, including required fields and attachments.
    • Sharing documents in a file per client or per order, with versions that don't get mixed up.
    • Status updates the client can see, with an email notification when something changes.
    • Quotes and invoices to view, download and approve digitally.
    • Messages or chat attached to a request, so the conversation stays with the file instead of disappearing into someone's inbox.
    • Roles and permissions: who can see and do what, per client, department or location.
    • Your own branding: your logo, colours and terms, on your own domain.

If a request should lead to a quote automatically, also look at a quote system. Should data reach your other software without retyping, you need an integration as well.

    Business clients

    B2B portals and partner portals

If you work for other businesses, a client rarely has one contact person. Someone requests, someone approves and someone pays the invoice. A B2B portal accounts for that: several users under one client account, each with their own permissions, and a history that stays with the company when someone leaves.

The same idea works the other way, towards suppliers, subcontractors or dealers. In a partner portal they only see the jobs meant for them, submit prices or lead times and upload their documents. Often it is one environment with two entrances: clients on one side, partners on the other, and your team in the middle.

    Timeline

How long does client portal development take?

A first working version is ready in four to eight weeks on average. That is not a complete portal with every feature, but the core that clients and your team can use straight away: logging in, submitting a request, sharing documents and following the status.

After that we build on what turns out to matter in practice. Only when real clients use it do you see which questions they still email about and which step runs differently than everyone assumed. A portal that tries to do everything at once takes longer and usually contains parts nobody uses.

    Built for real

The procurement platform for Premium Yacht Supply

Premium Yacht Supply sources parts for superyachts, from an O-ring to a gearbox. Every request used to run by email: working out exactly which part it was, writing to suppliers, chasing them, comparing replies and turning it into a quote. We built a procurement platform with a client portal that replaces that email workflow.

    • Reading equipment labels with AI. The engineer photographs the label and the system extracts manufacturer, type and specifications from the photo. The client doesn't need to know a part number.
    • Structured supplier replies. Suppliers reply by email, as they always have. A model turns the prices in that email into comparable lines.
    • Transparent quotes. The client sees supplier price, commission, freight and VAT each on its own line, and approves in the portal. Purchase order, tracking, delivery and invoicing follow from there.
    • Access per vessel. Captain and crew each have their own login, but see the orders for their vessel. When the crew changes, the history stays with the ship.

    Questions about client portal development.

How much does a custom client portal cost?

A custom client portal starts at € 9,500, with a fixed price agreed up front. The price mainly depends on the number of user roles, the integrations with your existing software and how many document flows are involved. The discovery session in which we work that out is free.

How long does it take to build a client portal?

A first working version is ready in four to eight weeks on average. It contains the core: login, requests, documents and status. After that we extend it based on how your clients actually use the portal.

Can a client portal connect to my CRM or accounting software?

Usually, yes. Most CRM and accounting packages have an API that lets client data, quotes and invoices flow into the portal automatically. In the discovery we first check what your current software allows, because that determines a good part of the price.

Why custom development instead of off-the-shelf client portal software?

If your process fits a standard package, that is often cheaper and we will recommend it. Custom pays off when your requests have specific steps, when clients need to see data from several systems, or when you don't want to pay licence fees per user. With custom software you also own the portal.

Can several people from one client use the portal?

Yes. Especially for business clients we set up the portal so several users belong to one client account, each with their own permissions, for example someone who requests and someone who approves. When someone changes jobs, the history stays with the company.

Does the portal run in my branding and on my own domain?

Yes. The portal gets your logo, colours and terminology and runs on an address such as portal.yourcompany.com. For your clients it is a natural part of your service.
