What does an AI quote system actually do?
A well-configured system does the following:
- Process intake information: the client fills in a form (or you enter it after a conversation). The system parses the input.

- Generate a draft quote: AI writes the introduction and product descriptions tailored to your style, based on your branding and previously approved quotes.
- Review and send: you check in two minutes, adjust where needed and send with one click.
The system doesn't automatically get better on its own. What it does do: it removes all the lookup work, copy-paste work and writing work that currently costs you time.
What do you need as a foundation?
This is the underestimated part. An AI quote system only works well if the underlying data is in order. That means:
- An up-to-date product list or service catalogue (Excel, CRM or own database)
- Clear pricing rules or a calculation model
- A few reference quotes that serve as the basis for style and structure
- A clear approval process: who is allowed to send a quote?
