An AI quote system for SMEs: how it works in practice

Creating quotes still costs many businesses hours per week. How does an AI quote system actually work, and when is the investment worthwhile? A practical overview.

In many SMEs, creating a quote goes like this: look up information in an old Excel file, copy lines from a previous quote, adjust the text, save as PDF and send. Each quote takes 30 to 90 minutes. At twenty quotes a month, that's quickly two full working days.

An AI quote system largely solves this. But not in the way many vendors present it: as a black box that does everything automatically. In practice it's an interplay of a solid data foundation, smart templates and the right human checks.

What does an AI quote system actually do?

A well-configured system does the following:

    1. Process intake information: the client fills in a form (or you enter it after a conversation). The system parses the input.
    2. Retrieve products and prices: based on the intake, the right products, services and rates are looked up from your database.
    3. Generate a draft quote: AI writes the introduction and product descriptions tailored to your style, based on your branding and previously approved quotes.
    4. Review and send: you check in two minutes, adjust where needed and send with one click.

The system doesn't automatically get better on its own. What it does do: it removes all the lookup work, copy-paste work and writing work that currently costs you time.

What do you need as a foundation?

This is the underestimated part. An AI quote system only works well if the underlying data is in order. That means:

    • An up-to-date product list or service catalogue (Excel, CRM or own database)
    • Clear pricing rules or a calculation model
    • A few reference quotes that serve as the basis for style and structure
    • A clear approval process: who is allowed to send a quote?

If this foundation doesn't exist yet, we build it together with you before automating. That sometimes takes an extra week, but the result is structurally better.

The system is only as good as the data that goes in. Good data plus AI is powerful. Bad data plus AI is fast and wrong.

    What does it deliver?

Based on the systems we've built, we see on average:

    • 60–80% time reduction per quote
    • Higher consistency in layout and language
    • Faster lead time (from request to sending, from hours to minutes)
    • Fewer errors from copy-paste

What does such a system cost?

A complete AI quote system with intake, generation, review interface and PDF export costs at Voortware between €5,000 and €12,000, depending on the complexity of your products and the integrations required. We always work with a fixed price and delivery within four to six weeks.
